Be Prepared: Follow These Best Practices

In Case of Emergencies

How do I access my Documents? How do I access my Documents?
  • Get in the habit of saving work-related files on a server. Every faculty, staff, and grad student is provided a "Home" folder on one of our servers.
  • Consider saving files that others may need to access on your behalf in the server's "Shared" folder. Permissions can be set to limit who has access.
    • Note: files with legally protected data should not be saved to your computer's local hard drive. Please save these to a server, as well.
How do I access my Email? How do I access my Email?
  • Use a standard email client like Thunderbird or Mail.
  • Making sure your email client is set to use "IMAP" will give you access to your email from multiple computers.
  • Use gophermail.umn.edu to access email from any web browser.
  • The CLA-OIT Service Desk can set up a loaner laptop with Thunderbird that will work like you're used to.
How do I access the Web? How do I access the Web?
  • When you need to get on the Web, most any computer will work.
  • Locate the nearest open access computer lab.
  • Refrain from accessing sensitive/private information on a computer you don't trust. Use a computer supported by CLA-OIT or some other IT Professional.
  • Use a management tool like delicious.com if bookmarks are critical to your daily activities.
  • Check out a loaner laptop from the CLA-OIT Service Desk.
  • Go to a University computer lab.
How do I give Presentations? How do I give Presentations?
  • Save files needed for presentations (PowerPoints, video clips, etc.) to multiple locations: on the server, on your laptop, or on a flash drive.
  • If your presentations contain private data, talk to your tech about protecting these files.
  • If you need a computer, check out a loaner laptop from the CLA-OIT Service Desk. It will come with PowerPoint and other standard software.
How do I work while Traveling? How do I work while Traveling?
  • Consult with the Office of International Programs and your tech before traveling to a foreign country.
  • It may be illegal to carry your encrypted laptop into some countries.
  • Take a loaner instead of your own laptop.
  • Don't take a computer at all. Store a few necessary files on Netfiles and download them when you get there.
  • With a decent network connection, the CLA-OIT Service Desk can remotely troubleshoot many problems across the globe. Call us at 612-624-4357.
